How to connect your email to an AI agent

Customers still write emails. Usually to an address that one person checks when they have a minute, while Telegram and the website chat live somewhere else. Now email sits next to them, and the same AI agent answers everywhere.

What changes for your customers

Nothing. They write to the address they already know. The reply comes from that same address, as a normal "Re:" in the same thread. Nobody has to change anything or forward mail anywhere.

Every new letter becomes a chat in your Inbox, with the subject in bold and the sender's address already in the client card. You see email, Telegram and the website chat in one list and answer from one place.

The AI agent replies by your knowledge base: prices, terms, opening hours. When the conversation needs a person, it hands it over to your team.

How to connect a mailbox

1. Open Projects, press Add project and choose Email. If you are just starting, the Launch page has an Email tile with the same form.

2. Enter your address. For Gmail, iCloud and Yahoo the server settings fill in by themselves; for any other mailbox you type the IMAP and SMTP servers once.

3. Paste an app password. Gmail, iCloud and Yahoo ask for one instead of your normal password; for Gmail it requires 2-Step Verification. The form links to the right page.

4. Name the project and choose the agent. From now on every new letter to this address opens a deal in the project, and the reply goes out from the same address.

The small things that matter

A letter you read or answer in Cicada becomes read in your mailbox too, so you never see it as new twice. Newsletters are skipped. An auto-reply like "I'm away until Monday" shows up as a service line and the agent does not answer it. If a letter could not be delivered, your message turns red with the reason. And when a customer reacts to your letter with an emoji in Gmail, the reaction appears right under your message.
